A multi-clinic group booked appointments by phone and tracked follow-ups on paper. We built a patient portal and a clinician app around one scheduling system.

01 — Challenge
Challenge
Four clinics, each with its own appointment book. Patients called during office hours or did not book at all, no-show rates were high, and follow-up reminders depended on a staff member remembering. Any solution had to handle sensitive records with strict access control.
02 — Strategy
Strategy
We modelled scheduling once, centrally, with clinic-level rules layered on top — because the real complexity was not the calendar but each clinic's exceptions. Access control was designed before any interface work, with role and record-level permissions enforced in the API. We piloted at one clinic for six weeks before rolling out.
03 — Solution
Solution
A patient portal for booking, rescheduling, documents and reminders; a clinician mobile app for daily schedule, notes and follow-up actions; and an administrative back office for clinic rules, capacity and reporting. All three read from one scheduling service with a full audit trail on every record access.
